Invoices
Create and send invoices, understand statuses and numbering, the exact tax and discount math with a worked example, PDFs, void, recurring invoices, and reminders.
Invoices
Invoices are the core of Biz Invoice Pay: professional, numbered bills you send to customers with a built-in pay link.
Creating an invoice
Go to Invoices → New invoice and fill in:
- Customer — pick an existing customer or add one (name and email are enough).
- Line items — description, quantity (up to 2 decimals), unit price, and whether each line is taxable. Non-taxable lines are common for services in states that don't tax them.
- Discount — percent (0–100) or a fixed amount, clamped so it can't exceed the subtotal.
- Tax rate — set per invoice; your default lives in business settings.
- Due date — your default payment terms apply automatically; override per invoice.
Click Save draft or Send. Sending emails the customer a link to the hosted pay page and moves the invoice from draft to open.
Statuses
| Status | Meaning | What you can do |
|---|---|---|
draft | Not sent yet. | Edit, send, delete. |
open | Sent, awaiting payment. | Record payment, void, mark uncollectible. |
paid | Paid in full. | Issue refunds. |
void | Cancelled before payment. Terminal. | Nothing — it's final. |
uncollectible | You gave up collecting. Terminal. | Nothing — it's final. |
Only draft invoices can be edited. Overdue is derived, never stored: an open invoice whose due date passed in your business's timezone.
Numbering
Invoice numbers follow your prefix and a running counter: INV-0001, INV-0002, and so on. Set the prefix and starting number in Settings → Business profile before you send your first invoice — changing it later doesn't renumber old ones.
Tax and discount math (exact)
All math uses integer cents with half-up rounding. The rule that surprises people:
The discount is allocated to taxable lines proportionally before tax is computed. Tax applies to the taxable base minus the discount's share of it.
discountOnTaxable = round(discount × taxableBase / subtotal)
taxCents = round((taxableBase − discountOnTaxable) × taxRate / 10000)
total = subtotal − discount + taxPercent discounts are computed on the subtotal; fixed discounts are clamped to the subtotal.
Worked example
A barbershop invoice with an 8.875% tax rate and a 10% discount:
| Line | Qty | Unit price | Taxable? | Line total |
|---|---|---|---|---|
| Haircut | 1 | $45.00 | Yes | $45.00 |
| Beard trim | 1 | $20.00 | Yes | $20.00 |
| Pomade | 1 | $15.00 | No | $15.00 |
- Subtotal: $80.00
- Discount (10%): $8.00 → remaining $72.00
- Discount share on taxable lines: $8.00 × $65.00 / $80.00 = $6.50
- Taxable after discount: $65.00 − $6.50 = $58.50
- Tax (8.875%): $58.50 × 0.08875 = $5.1948 → $5.19
- Total: $80.00 − $8.00 + $5.19 = $77.19
Tips are added at payment time, are not taxed, and live on the payment record — never on the invoice.
PDFs
Every invoice has a Download PDF button (also attached to the "sent" email if you enable it in settings). The PDF shows your logo, business details, line items, tax and discount lines, invoice number, due date, and a pay link.
Void and uncollectible
- Void an
openinvoice when the sale is cancelled (wrong amount, customer changed their mind). No money moved, so there's no refund — the invoice is simply dead. - Mark uncollectible when the customer won't pay and you've stopped trying. This keeps it out of your open balances without deleting history.
Both are terminal and can't be undone.
Recurring invoices
Turn on Recurring on a draft invoice to repeat it on a schedule (weekly, monthly, quarterly, yearly) until an end date or a set number of cycles. Each cycle creates a fresh invoice and emails the customer. Pause or stop the schedule any time from the recurring list.
Reminders
In Settings → Business profile you can enable automatic payment reminders: send them a few days before the due date, on the due date, and/or after it. Reminders include the pay link. Manual nudge: open the invoice and click Send reminder.
